This Privacy Policy explains how FillJob AI ("we", "our", or "us") collects, uses, and protects your personal information when you use our website at filljobai.com and our Chrome extension.

1. Who We Are

FillJob AI is an AI-powered job application autofill service. Our website is filljobai.com and our Chrome extension is available on the Chrome Web Store. For privacy-related questions, contact us at support@filljobai.com.

2. Information We Collect

2.1 Information You Provide Directly

  • Account information: Your name, email address, and password when you create an account.
  • Resume data: When you upload your resume (PDF or DOCX), we extract and store your full name, email, phone number, address, work history, education, skills, projects, certifications, and achievements.
  • Quick-answer data: Optional fields you fill in the extension popup (city, country, LinkedIn, GitHub, portfolio URL, notice period, salary expectation).
  • Contact messages: If you contact us via our contact form, we store your name, email, and message.

2.2 Information Collected Automatically

  • Authentication tokens: A secure session token stored in your browser to keep you logged in.
  • Usage data: When you use the autofill feature, we log the job platform used, the number of fields filled, credits consumed, and the timestamp. This is displayed in your application tracker dashboard.
  • Extension events: We log when the extension is installed, activated, and used — to help us improve the product and track your credit usage.
  • Language preference: Your selected autofill language, stored in your account and locally in the extension.

2.3 Information We Do NOT Collect

  • We do not collect your browsing history.
  • We do not read or store the content of pages you visit — only the job application page you explicitly trigger autofill on.
  • We do not collect health, financial, or payment card information.
  • We do not collect personal communications (emails, messages).

3. How We Use Your Information

  • To provide the autofill service: Your resume data is sent to our AI to generate tailored answers to job application questions. This is the core function of the product.
  • To authenticate you: Your session token is validated on every API request to ensure only you can access your data.
  • To track your applications: Autofill events are logged to your personal dashboard so you can see your application history.
  • To enforce usage limits: We track credit and token usage to apply the limits of your plan (Free or Pro).
  • To improve the product: Anonymised usage patterns (not personal content) help us improve field detection accuracy.
  • To send transactional emails: Account confirmations, password resets, and important service updates. We do not send marketing emails without your consent.

4. Chrome Extension — Specific Disclosures

The FillJob AI Chrome extension requests the following permissions. Here is exactly why each is needed:

  • activeTab:To read the form fields on the job application page you are currently viewing, so we can fill them. Only activates when you click "Autofill This Page".
  • scripting: To inject the autofill logic into the job application page. All scripts are bundled locally — no remote code is loaded.
  • storage: To save your language preference and quick-answer data locally in your browser using chrome.storage.
  • cookies: To read your filljobai.com session cookie to confirm you are logged in before making API calls. We never set or modify cookies.
  • contextMenus:To add a right-click shortcut "FillJob AI: Autofill this page". No data is collected through this menu.
  • Host permissions (https://*/*): Job application forms exist on thousands of employer domains. Broad host permissions are required to support all of them. The extension only activates when you explicitly trigger it.

The extension does not use remote code. All logic is bundled inside the extension package.

5. Data Sharing

We do not sell your personal data. We share data only in these limited cases:

  • AI Provider: Your resume context and the job application question are sent to our AI provider to generate a tailored answer. Only the relevant context for each question is shared — not your full resume file.
  • Vercel:Our platform host. Your data is stored and processed on Vercel's infrastructure.
  • Stripe: If you upgrade to Pro, payment is processed by Stripe. We do not store your payment card details.
  • Legal requirements: We may disclose data if required by law or to protect our rights.

6. Data Retention

  • Your account data is retained until you delete your account.
  • Resume files are deleted when you remove the resume from your account.
  • AI cache entries expire after 30 days.
  • Application event logs are retained for 12 months.
  • You can request deletion of all your data at any time by emailing support@filljobai.com.

7. Your Rights (GDPR — EU Users)

If you are located in the European Union, you have the following rights:

  • Right of access: Request a copy of all data we hold about you.
  • Right to rectification: Correct inaccurate personal data.
  • Right to erasure: Request deletion of your account and all associated data.
  • Right to restriction: Ask us to stop processing your data in certain circumstances.
  • Right to data portability: Receive your data in a machine-readable format.
  • Right to object: Object to processing based on legitimate interests.

8. Security

  • Passwords are hashed using bcrypt — we never store plain-text passwords.
  • All data is transmitted over HTTPS (TLS 1.2+).
  • Resume files are stored with private, signed URLs — not publicly accessible.
  • Extension tokens are separate from web sessions and can be revoked independently.

9. Cookies

We use the following cookies on filljobai.com:

  • Session cookie (HTTP-only): Keeps you logged in. Expires after your session ends or 30 days.
  • CSRF token: Protects against cross-site request forgery attacks.

We do not use advertising, tracking, or third-party analytics cookies.

10. Children's Privacy

FillJob AI is not directed at children under the age of 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us at support@filljobai.com.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and notify you by email if the changes are significant. Continued use of FillJob AI after changes constitutes acceptance of the updated policy.
